1. Introduction

This Privacy Policy describes how RentGuard ("RentGuard," "we," "us," or "our") collects, uses, stores, and protects your information when you use our property management monitoring service (the "Service"). By using RentGuard, you agree to the collection and use of information in accordance with this policy.

2. Information We Collect

2.1 Account Information

When you create a RentGuard account, we collect:

  • Email address — Used for account login, sending alerts, and account-related communications
  • Password — Stored using industry-standard bcrypt hashing (we never store plaintext passwords)
  • First name — Used to personalize your experience
  • Timezone — Used to schedule checks and display times correctly

2.2 Google Account Information

When you connect your Google account, we receive and store:

  • Google email address — To identify your Google account
  • OAuth access token — Encrypted at rest, used to access your authorized Google Sheets
  • OAuth refresh token — Encrypted at rest, used to maintain access without repeated sign-ins

We request the minimum permissions necessary: read-only access to Google Sheets and your email address.

2.3 Spreadsheet Data

We only access spreadsheets you explicitly connect. We do not browse your Google Drive or access any files you haven't authorized. Data includes sheet contents, structure, tenant names, unit identifiers, rent amounts, due dates, and payment status.

2.4 Monitoring Data

RentGuard reads your connected spreadsheets in read-only mode. We store monitoring state in our own database — your Google Sheets are never modified.

3. How We Use Your Information

  • Provide the Service — Monitor spreadsheets, detect overdue rent or stale maintenance tickets, send alerts
  • Maintain your account — Authenticate you, manage preferences, provide customer support
  • Send communications — Deliver alerts you've configured and account notices
  • Improve RentGuard — Understand usage to fix bugs and develop new features
  • Ensure security — Detect and prevent fraud, abuse, or security incidents

4. What We Don't Do

  • We don't sell your data to third parties
  • We don't share your data with advertisers
  • We don't modify your original spreadsheets
  • We don't contact your tenants
  • We don't collect or process rent payments

5. Data Storage and Security

We implement industry-standard security measures including HTTPS encryption, bcrypt password hashing, AES-256 encryption for OAuth tokens at rest, and regular security reviews.

6. Google API Services Disclosure

RentGuard's use and transfer of information received from Google APIs adheres to the Google API Services User Data Policy, including the Limited Use requirements.

7. Data Sharing

We do not sell your personal information. We may share information only with service providers necessary to operate the Service, when required by law, or with your explicit consent.

8. Data Retention

Data is retained while your account is active. When you delete your account, all associated data is permanently deleted from our systems.

9. Your Rights

You have the right to access, correct, or delete your personal data at any time. You can also disconnect Google access and opt out of optional communications.
